ABOUT THE ASSIGNMENT
For Pollet Group, we are looking for an experienced Management Assistant (freelance) to provide temporary support to the management within our international group. You will work closely with the CEOs and General Managers and act as an organisational and administrative force within multiple divisions.
This is a versatile and highly coordinating role, in which discretion, reliability and flexibility are essential. Ideal for someone who thinks ahead, adapts quickly and remains calm in a dynamic environment. This is a temporary replacement assignment.
YOUR RESPONSIBILITIES
- Diary and schedule management
You are responsible for managing diaries and ensuring efficient and clear daily and weekly planning. Changes and last-minute adjustments do not faze you: you are able to switch gears quickly and always put the puzzle together in a thoughtful way. You think critically and proactively and monitor diaries according to priorities and urgencies. - Support for senior management & management
You provide substantive and administrative support to senior management and management. This includes taking minutes for the Board of Directors and the various management committees and reviewing management meetings. - Reporting & follow-up
You will assist with weekly and monthly reporting. This involves using tools such as Power BI and ensuring that the necessary information is available on time and is correct. - Travel
You will be in close contact with the travel agency to book flights/hotels/transport. You will book flights as efficiently as possible in accordance with the agendas, with as little time loss as possible. - Logistical organisation (BE & abroad)
You will organise meetings/events from A to Z and ensure smooth logistics and communication. You will monitor efficiency, comfort and timing. This also includes providing catering or booking restaurants. - Other tasks
Finally, you will also take on various support tasks.
Profile
WHO WE ARE LOOKING FOR
- You have relevant experience as a Management Assistant and hold a master’s degree (or equivalent through experience), enabling you to quickly make connections and assess situations correctly. You are extremely good at multitasking, work accurately, are adept at planning and can effortlessly set priorities, even when dealing with several files at the same time.
- In addition, you are discreet, reliable and professional. You remain calm under pressure, are stress-resistant, flexible and independent, and always maintain an overview.
- You feel comfortable in a digital working environment and are proficient with Office 365. Knowledge of Power BI is an asset.
- Finally, you are available full-time. Freelance or fixed-term contracts are possible.
